Free HTML Timesheet Form Generator

Agencies, clinics, and small manufacturers still collect hours in Slack. Use an HTML timesheet that posts employee name, week-ending date, hours, and an optional note so US payroll and UK contractor invoicing are not reconstructed from memory on Friday night.

How to Use This Form Generator

1

Create a payroll Form ID

Notifications to payroll@, not the public info inbox.

2

Keep week ending and hours checked

Those extra fields are why this page exists.

3

Hide unused leave fields

Edit the copied HTML so start/end leave dates do not show if they confuse staff.

4

Export every Monday

CSV into the payroll product you already pay for.

What is a timesheet form?

A timesheet is a declaration of hours against a week, not a leave request. US hourly teams use week-ending Saturday or Sunday to match payroll. UK contractors and PAYE shift workers often use Sunday week-ending or a Monday-start week; the date field should be labelled clearly on the page so nobody submits the wrong period.

This is not clock-in hardware. It is a weekly attestation you can export to payroll or to a contractor invoice.

What payroll can process

If the week-ending date is missing, the hours number is fiction. Make both required.

  • Employee or contractor name and work email matching the payroll record.
  • Optional employee ID when two people share a name.
  • Week-ending date as the extra date field this pack adds.
  • Hours as a number (use decimals in page copy if you pay 7.5-hour UK days).
  • Note or project code in the reason textarea so billable work is not a mystery.

Leave-type on the underlying HR pack can be hidden on the form if it confuses people. Timesheets are about hours, not PTO.

How hours are still collected

TSheets and Clockify exist. A ten-person crew on a static intranet page often just needs this.

1. HTML on an internal page

Password the page if you must; the form still posts to your form backend.

2. Workforce SaaS

Right when you need geofencing and break rules. Overkill for salaried-plus-overtime once a month.

3. Spreadsheet in a shared drive

Two people edit at once and the formula breaks.

4. Paper clock cards

Photograph and type, or give staff this URL on their phone.

Timesheets on sites without an HR database

Field-service companies run marketing sites plus a hidden /timesheet URL. Publish the form there.

Remind US staff that this is not a substitute for FLSA-compliant timekeeping if you are a covered employer, and remind UK contractors that this is not IR35 advice—it is a hours capture.

Frequently Asked Questions

Can people submit daily rows?

Yes, but the extra field is week-ending. For daily capture, say so in the note or duplicate the form per day.

Does this calculate overtime?

No. It stores hours. Your payroll rules stay in payroll software.

US vs UK week-ending?

State the convention in the heading. Do not assume Saturday.

Can managers approve in the form?

Not as a workflow engine. Use dashboard review or a second ‘manager confirm’ form.
