Free HTML Press Inquiry Form Generator

Reporters on deadline will not fill a 12-field marketing form. The form should ask for outlet, deadline, and the question so US and UK press offices can respond in hours, not in a CRM nurture stream.

How to Use This Form Generator

1

Create a comms Form ID

Instant email to whoever is on press duty.

2

Require outlet

Vague ‘media’ is usually a pitch in disguise.

3

Publish /press

Boilerplate, images, then the form.

4

Reply before the deadline

A short ‘no comment’ beats silence.

Press inquiries as a newsroom ticket

A press inquiry is a journalist asking for comment, data, or access. US outlets and UK titles both work to clocks that do not care about your lead-scoring. Outlet plus deadline is the whole qualification. If those are missing, it is probably not press.

Do not put this into the same inbox as sales. A reporter who gets a demo sequence will write that down.

Fields a desk will actually complete

Every extra marketing field is a reason they email a personal address instead.

  • Outlet required.
  • Deadline as a date—even if they also write ‘today 4pm’ in the message.
  • Message for the question and whether it is on the record.
  • Email that is not a Gmail if they have a desk address—do not block Gmail, many freelancers use it.

Link a boilerplate and image pack so routine asks never hit the form.

How reporters reach you

HARO and similar are inbound. Your /press URL is for people who already know the brand.

1. HTML on /press

Next to the boilerplate. Notifications to comms, instant.

2. press@ mailbox only

Still harvestable. Use the form as the public CTA and keep press@ as a redirect.

3. Twitter DMs

Offer this URL. Some will ignore you; that is journalism.

4. PR agency gate

Fine. The agency can fill this so you still have a row.

Press rooms on static sites

Newsrooms expect a fast static page. Put the form live; skip the chatbot.

Embargoes and ZIP or postcode of an embargoed event can live in the message. Do not invent extra fields for rare cases.

Frequently Asked Questions

Student journalists?

Policy in copy. Many teams still help; some cannot.

Podcast bookings?

Use this or the media request form if you split broadcast.

Off the record?

They should say so in the message. Your comms policy still applies.

Crisis after hours?

Publish an on-call path. A form alone is not a crisis plan.
